Your privacy is important to us. This privacy policy explains how Quizzly collects, uses and protects your personal data in accordance with the General Data Protection Regulation (GDPR).

Data we collect

We collect the following types of data:

• First and last name
• Email address
• Team data and quiz participation information
• Quiz statistics and results

How we use your data

We use your data for:

• Managing your user account
• Organising and tracking quizzes and leagues
• Event-related communication
• Improving our services

Cookies

We use cookies to improve your experience on our platform:

• Essential cookies: Required for the website to function (login, security).
• Functional cookies: Remember your settings and preferences.
• Analytics cookies: Help us understand how you use our website.

Chrome Extension (Quizzly Music Controller)

If you use the Quizzly Music Controller Chrome extension, the following additional data is collected:

• Playback activity: The extension reads the currently playing track (title, artist, video ID, thumbnail URL), playback position, duration, play/pause state, and up to 10 upcoming songs from YouTube Music. This data is transmitted to your Quizzly server for display on the quiz presentation screen and is not stored persistently — it is held as transient state and overwritten on each update.
• Authentication token: A server-generated secret token is stored locally in the browser to authenticate communication between the extension and your Quizzly server. This token is not transmitted to any third party.

The extension does not collect personally identifiable information, browsing history, or any data outside of YouTube Music. No data is sold, shared with third parties, or used for advertising or analytics purposes.

YouTube API Services

Quizzly uses YouTube API Services to search for and play music during quiz presentations. As part of this functionality:

• Music searches are sent to the YouTube Data API to display search results (titles, artists, thumbnails)
• Playback is handled via the embedded YouTube player — content is not downloaded or stored locally
• Search and playback data is retained only for the duration of the active session and is automatically deleted upon completion

Data sharing

We do not sell or share your personal data with third parties, except when necessary to provide our services or when legally required.

Data retention

We retain your data while you have an active user account. After closing your account, data is deleted within 30 days, unless the law requires otherwise.

Your rights

You have the right to:

• Access your personal data
• Correction of inaccurate data
• Deletion of your data
• Transfer of data to another service provider
• Withdraw consent at any time

Data security

We take appropriate technical and organisational measures to protect your data from unauthorised access, loss or misuse.

Account Deletion

You can delete your account via Profile > Delete Account on the web or in the mobile app.

What is permanently deleted:

• Personal data (name, email, phone, avatar, login history)
• Team memberships and notification preferences
• Account preferences and settings

What is preserved (anonymised):

• Historical quiz results, league standings, and scores at the team level
• Questions and media content (transferred to an administrator)

Team captains can transfer captaincy to another member or deactivate the team (the team name remains visible in historical results).

Quizmasters can transfer organisation ownership or deactivate it. Content is transferred to an administrator.

Account deletion is permanent and cannot be undone. Processing is immediate upon confirmation.
